For your own account it might be easy to just write the captions in app on the morning of your post but when you are working with a new client, they will need to approve that caption.

Access
Your content calendar needs to be at your fingertips. If you cannot access your content calendar within a few clicks you will not maintain it. Or if you have a great idea but nowhere to save it, its just going to get lost in the abyss of other thoughts and forgotten notes
Yes, you can save reels audios or favourite ideas but do you ever go back to them? Are those collections in Instagram just sitting there for no reason. Having a content calendar in your notes app, a task management software like Notion or google docs can be accessed anywhere. Bonus points if it is even easier to duplicate the method you are using for yourself to then use for your clients.
Simplicity
Less is more in your content calendar when you are starting out. Plus, you do not want to upload, download, drag, drop all your images and video files 10 different times just to make your content calendar look aesthetic.
There are really only a handful of columns you need in your content calendar.
- Ideas
- Hook / Title
- Caption
- Image or Video File
- Cover image if required
This is all you need to start out with in the beginning. The next steps would be to add your analytics from each post to track what is working and what isn’t.
Usability
Lastly you have to be able to use your content calendar on a regular basis. Is it easy to type your hooks? Does your caption look formatted? Is there enough room for your video file?
On top of that if you use this exact system with your clients content calendar is there a place for them to edit, comment, and approve your content. Make it as easy as possible for your client to look at the overall post.
Building your content calendar will take time, trial and error and a handful of iterations but start simple and build on top of that.
